Introduction

The Anson Youth Tackle Football and Cheer (AYTFC) organization is preparing for its annual Executive Board elections for the 2026 season. This guide provides an overview of the election process, membership eligibility, and key dates to help all members participate effectively and understand their roles in shaping the future of our programs.

Election Cycle Clarification

AYTFC holds Executive Board elections each year, with certain positions elected in even years and others in odd years. Board members serve two-year terms, ensuring ongoing leadership and fresh perspectives.

This the conclusion of the 2025 season moving into the 2026 season, members will vote to elect new Concession Coordinator and Cheer Coordinator representatives. The President, Secretary, and Player Advocate are currently in the first year of their two-year terms, with these positions scheduled for election again in 2028.

Board Member Terms and Vacancies

  • Board members serve from January 1 to December 31 of their term.
  • A transitional meeting is held before year-end to elect new members and address any vacancies.
  • If a position is unfilled (except President), the President appoints a replacement. For a vacant President role, a general membership vote is required, with the Vice President serving as interim until filled.
  • The election deadline has been extended to on or before January 31, 2026.

Voting Process

  • Elections are held during the Annual Members Meeting, scheduled no later than January 31, 2026.
  • Members will be notified at least 72 hours in advance of the meeting.
  • The Secretary prepares ballots; the Treasurer verifies membership eligibility and distributes ballots.
  • Each eligible member receives one ballot and votes for nominated candidates. If a candidate is nominated for more than one position, members may vote for that person in only one role.
  • The Treasurer and Secretary reconcile and certify all votes.

Membership Eligibility

  • Parents or legal guardians of registered children are eligible for membership.
  • Approved volunteers qualify as members and do not pay dues.
  • Non-volunteer members without registered children can join by paying the registration fee ($160 per season for 2025).
  • Membership lasts from the close of registration through the final board meeting of the season and must be renewed each year.
  • If parents withdraw all registered participants, their membership ends but may be reinstated the following season.
  • Volunteers retain voting privileges for the duration of their service.

Duties of the Concession Coordinator

  • Lead the Concessions Committee.
  • Present annual and as-needed concession budgets to the Board.
  • Work with Anson Independent School District officials to secure facilities.
  • Facilitate agreements with AISD and submit for Board approval.
  • Recruit and schedule concession volunteers.
  • Propose fundraising initiatives as needed.
  • Report earnings to the President and Treasurer.
  • Solicit and secure sponsorships or donations for concessions.
  • Perform additional duties as assigned by the President or association.

Duties of the Cheer Coordinator

  • Maintain and inventory all association and coaching equipment.
  • Issue and retrieve equipment each season; recommend new purchases.
  • Certify and report annual equipment inventory to the Board.
  • Ensure compliance with WTRYFL rules.
  • Address and report protests or issues to the Executive Board.
  • Secure practice facilities and schedules in partnership with AISD officials.
  • Consult the Board on per-player fee assessments.
  • Propose coaches for approval and resolve conflicts (Vice President acts if Cheer Coordinator is involved).
  • Organize and publicize registration; manage uniforms; recommend rule changes to WTRYFL.
  • Oversee coach safety certification and training.
  • Coordinate summer camps with the league and school district.
  • Maintain communication with AISD Athletic Director for clinics.
  • Perform other duties as assigned by the President or association.

  • Concession Coordinator: Position vacant and open for nominations.
  • Cheer Coordinator: Position open for election. Haley Mueller, founding member and current coordinator, is running for a second term after leading the program for the past two seasons.
